Bid Pro is a complete procurement application designed specifically for K12 school districts and purchasing groups, allowing them to more efficiently manage their food and supply bids. It is one of the only systems built precisely to solve many of the challenges inherent in K12 food procurement and more specifically, the managing of K12 purchasing groups.
Built with collaboration in mind, districts or groups can assign Bid Managers and Team members for specific bid categories. They can easily manage their Item Catalog, bid items, specifications, product documentation and much more. Bid solicitations are released, responded to, and awarded in the system, and all data is readily available for all members to view and export as needed. All contracts and other required vendor documents are easily accessible if needed for procurement or administrative reviews. BidPro can also easily import much of your current data, making the implementation of BidPro a breeze!
Among its many features, BidPro has a perpetual Item Catalog, allowing users to easily add and maintain items, bid specifications, associated documents and more. BidPro also eliminates the need for error-prone Excel sheets, as all pricing, analysis and awarding is done directly in the system. Additionally, managing district information, bid participation and vendor communication is handled by BidPro eliminating the need for countless emails.

Managing Bids:
Bid categories are awarded directly in the system, and can be awarded by bottom line (market basket), line item, or by grouped line items. This flexibility allows districts to use BidPro as they see fit, but to bring their procurement systems into the 21st century. All award information is easily accessible to all districts and vendors, eliminating the needs for shared spreadsheets and multiple emails.
BidPro was designed exactly for this, as many groups assign managers and teams to handle specific bid categories. The Bid Administrator retains overall control of the bid process, but can delegate responsibility as they deem appropriate.
Yes! The system easily exports data such as award information to Excel for easy transfer to other applications such as creating your own order guides, nutritional analysis software and more.
Vendor & Contract Management:
Once they initiate a BidPro Vendor account, vendors are notified of solicitations as soon as they are released. At any time before the Bid Opening date, they can then view the bid, submit pricing, and upload all required documents. BidPro eliminates the need for hard to manage Excel sheets as all of the pricing is entered directly into the system. If the group allows “Equal” items, vendors submit those right in BidPro for approval. BidPro makes it easy for vendors to participate, eliminating hurdles and increasing competition for districts and groups.
Upon award, the system prompts users to enter contracts for awarded vendors. Vendors must complete, sign and upload completed contracts into BidPro, along with any other required documents. These documents become part of the bid award, and are easily accessible to all users at any time, such as during Administrative or Procurement Reviews.
